Template: Deadline and reminder

Keep signing on track with deadlines and automatic reminders. Configure these settings for individual transactions or save them in a template to reuse the same workflow every time.

Configure deadlines and reminders

To configure these settings in a template:

  1. Go to Settings.

  2. Select Templates.

  3. Open the template you want to edit.

  4. Navigate to Deadline and reminders.

From here, you can define:

  • Deadline: How long recipients have to sign the document.

  • Send notifications every: How often reminder emails are sent before the deadline.

  • Final notification: When the final reminder is sent before the transaction expires.

To change a value, simply hover over the setting and use the arrows to increase or decrease it.

Recipients will receive reminder emails at the interval you specify until the transaction expires. Once the deadline has been reached, a final expiration notification is sent.

If you don't want signers to receive reminder emails, simply set both Send notifications every and Final notification to 0. This disables all reminder notifications for the signing.

Note: For public forms, expiration notifications are sent only to the form owner, not to the recipients.

Managing longer signing processes

If you expect the signing process to take longer than planned, you can avoid unnecessary reminders by either:

  • disabling reminders, or

  • increasing the interval between reminders.

For public forms, expired transactions can be reactivated for up to 10 days after the expiration date, allowing recipients additional time to complete the signing.

Save settings in templates

When using templates, you can save your preferred deadline and reminder settings so they are automatically applied to every new transaction created from the template. This helps ensure a consistent signing experience while reducing manual configuration.

Customize reminder emails

You can also personalize the reminder emails sent to recipients by editing both the subject and the message.

The editor allows you to:

  • Format the text.

  • Add bullet points.

  • Insert links.

  • Use Addo's standard placeholders to personalize the message.

Invitation, reminder, and receipt emails should never contain personal or sensitive information, as email communication cannot be guaranteed to be secure.

When you are finished, click Save to apply your changes.

Best practices

  • Set a realistic signing deadline based on your workflow.

  • Adjust or disable reminders if you expect delays.

  • Save reminder settings in templates to avoid repeating the same configuration.

  • Let recipients know if the signing timeline changes to help manage expectations.
