What happens after the respondent submits a form?

Understand the respondent experience and what happens in Addo after a form is signed and submitted.

What happens after a form is published?

Once a form is published, respondents can open its public link, provide the requested information, and complete the configured signing step.

Addo then makes the result available to the organization for review or follow-up.

This article explains the process from both sides.

The respondent experience

1. Open the public form

The respondent opens the public URL shared by your organization. The form displays the language and content configured by the form owner.

For the Vacation request example, the respondent sees:

  • An explanation of the request process

  • Employee name

  • Leave type

  • Additional comments

  • Start date

  • End date

  • A Submit or signing action

2. Complete the required information

The respondent enters their name, selects the type of leave, and chooses the requested start and end dates. Additional comments are optional.

Mandatory fields are marked as required. If the respondent omits required information or enters an invalid value, Addo displays a validation message.

3. Sign or approve

The respondent completes the signing or approval method selected by the form owner. The Vacation request example uses Touchscreen signing.

Other forms may use an approval action or an electronic identification method. The available methods depend on the organization's Addo configuration.

4. Submit the form

After completing the required information and signing step, the respondent submits the form.

By default, Addo displays a "Thank you" screen. If the form owner configured a redirect URL, Addo sends the respondent to that page instead.

Editorial verification before release: Confirm the exact submit/sign button label and the final "Thank you" screen in the release environment.

Under Respondent, require a signature, select the signing method and choose whether respondents see the default Thank you screen or are redirected after submission.

What happens in Addo

After submission, Addo processes the information and generated document according to the form configuration.

The Addo user should be able to:

  • Identify the submission by the respondent-name component.

  • See its current status.

  • Open the submitted information or generated document.

  • Review signing information.

  • Continue the organization's follow-up process.

The form's selected group and response destinations determine who can access the result and where it is delivered.

Editorial verification before release: Replace “submission” with the final product term if the result is presented as a transaction, case, or another object in Addo. Add the exact navigation path where users find it.

Under Administration, choose the language for generated form text, set the PDF title and select one or more response destinations.

The complete flow

Public link → Respondent completes the form → Respondent signs → Form is submitted → Result is available in Addo → Organization follows up

For the Vacation request example:

  1. An employee opens the Vacation request link.

  2. The employee completes the required information.

  3. The employee signs and submits the request.

  4. Addo records the result using the employee name as the respondent identifier.

  5. The appropriate user reviews the request and continues the internal approval process.

Addo Forms collects and signs the request. Any subsequent managerial approval process depends on how the organization has configured its workflow.

Confirmation and notifications

The respondent always reaches the configured post-submission destination: the default Thank you screen or a redirect URL.

Email confirmations, copies for respondents, and notifications to Addo users may depend on the form and workspace configuration.

Editorial verification before release: Confirm which notifications are sent by default, whether a respondent receives a copy, and which options can be configured.

If a respondent cannot submit

Ask the respondent to check that:

  • Every required field is complete.

  • Dates and other values use an accepted format.

  • The signing or approval step has been completed.

  • The browser still has an internet connection.

If the problem continues, test the public URL in a private browser window and confirm that the form is still published and accepting responses.

If the result is not visible in Addo

Check:

  • The form's response destination.

  • The group and access permissions.

  • Whether the submission completed successfully.

  • Whether the result is listed under a different status or product term.

  • Whether a configured notification indicates an error.

⚠️Important: Do not ask the respondent to submit the same form repeatedly until you have checked whether an earlier submission was received.
