⚠️You must be an Administrator to make the account-level changes described in this article.
Open the Users page
Select Settings (⚙️) → Users in the navigation menu.
The page contains two sections:
Users: Where you can create users, filter the user list, and add one or more users to a group.
Groups: Where you can create groups and manage their members, roles, and status.
You can search the Users list by name or e-mail address and filter it by Role and Status:
The Users page contains separate sections for managing users and groups.
Create a user
In the Users section, select Add new user.
Enter the user's details:
Name - required
Title - optional
E-mail - required
Phone - optional; select the relevant country code
Role - select Standard or Administrator
Language - select Danish, English, Norwegian, Swedish, Finnish, or Dutch
Select Save.
Enter the user's details, assign an account role, and select the user's language.
Assign the new user to an existing group
You can assign the user to one or more existing groups before you save the new user.
The +Assign to new group control adds another group assignment; it does not create a new group.
In Assigned groups, select Assign to new group.
In Select group, choose an existing group.
Select the user's role in that group:
Member
Group Viewer
Group Administrator
Select the plus icon on the far right to add the assignment.
Repeat the steps to assign the user to additional groups, if required.
To remove an assignment before saving, select the cross icon on the left.
Select Save to create the user and apply all group assignments.
Select an existing group, assign the user's group role, and select the plus icon.
Understand account roles
Account roles and group roles serve different purposes. An account role controls access across the Addo Sign account. A group role controls access within a specific group.
Standard user
A Standard user can use the everyday signing features available to them, including:
creating and sending documents for signature;
tracking their own signing processes;
using templates made available to them; and
viewing their own activity history.
A Standard user does not manage account-wide settings. However, the user can be assigned as a Group Administrator for one or more groups. See Understand group roles below.
Administrator
An Administrator has the rights of a Standard user and can also manage the Addo Sign account. Administrators can:
create, edit, and deactivate users;
assign the Standard or Administrator account role;
manage account-wide settings, including security, templates, and branding; and
access advanced reporting and usage information available to the account.
You can assign more than one Administrator. We recommend having at least two Administrators to reduce the risk of losing administrative access.
⚠️ Important: The Administrator account role does not automatically make the user a Group Administrator in every group. Assign the relevant group role separately for each group.
If your organisation no longer has access to an Administrator account, use the Account Access Recovery process or contact Addo Sign Support.
Add users to a group
A user can belong to more than one group. Adding a user to a group does not remove the user from any existing groups.
In the Users section, select the checkbox next to each user you want to add.
In Add selected users to, select the destination group.
Select Add.
Confirm that the group member count has been updated in the Groups section.
Select one or more users, choose the destination group, and select Add.
Create a group
In the Groups section, select Add new group.
Enter a Name.
Optionally, enter a Description and/or set the group as default.
Select Save.
The new group appears in the Groups list. You can then add members by following the steps in Add users to a group.
Enter a group name and, optionally, enter a Description and/or set the group as default.
Edit a group
Select the group in the Groups section to open its settings. From the group settings, you can:
change the name and description;
review the group's members;
assign a role to each member;
remove members; and
activate, deactivate, or delete the group.
Edit the group and assign a role to each member.
Understand group roles
Group roles apply only to the group in which they are assigned. A user can have different roles in different groups.
Member
A Member can send documents for signature and use other features made available to them. Members can view and edit their own transactions, but they cannot manage account settings or create templates. A user can be a Member of multiple groups.
Group Viewer
A Group Viewer can view the group's transactions but cannot edit them. This role cannot create templates or Forms. Its access under Settings is limited to Validation.
Group Administrator
A Group Administrator manages access and content within the assigned group rather than across the entire account. A Group Administrator can view and manage the group's transactions and create or edit templates associated with that group.
⚠️ Important: A Group Administrator cannot create account users or change account-wide settings unless the user also has the Administrator account role.
Account roles and group roles are assigned independently. Even an account Administrator must be given Group Administrator access to each group they need to administer.
Remove a user from a group
Open the group settings.
Find the user in the member list.
Select the bin icon next to the user's Role dropdown.
In the confirmation message, select Yes.
Select Save if the group settings page requires you to save the change.
Note: This removes the user from the group only. It does not delete or deactivate the user's Addo Sign account.
Confirm that you want to remove the user from the group.
Deactivate or reactivate a group
Open the group settings.
Select Deactivate.
Select Save.
The group name, description, members, and roles are retained. The group's Forms and templates are hidden from the relevant lists while the group is deactivated. They become available again when you reactivate the group.
Deactivate a group when you want to make it unavailable without deleting its configuration.
To reactivate the group, open its settings, select Activate, and then select Save.
Delete a group
Deleting a group is different from deactivating it and may permanently delete templates.
Open the group settings.
Select Delete.
Review the available deletion options carefully:
To delete the group and its templates, select Delete group and templates.
To retain the templates, select Delete and move templates to default group.
Confirm the deletion only when you are certain that the correct option is selected.
Transactions associated with the group are not deleted. However, after group access is removed, users can no longer view those transactions through the group.
⚠️ Warning: Group deletion can permanently delete templates that belong exclusively to the group. If a group was deleted accidentally, contact Addo Sign Support.
Move the group's templates to the Default group if you need to retain them.
Recommended administration practices:
Assign at least two account Administrators.
Give users only the account and group roles they need.
Review user roles and group memberships regularly.
Deactivate a group when its settings and content may be needed again.
Before deleting a group, move any templates that must be retained to the Default group.
