Find a transaction using a Reference Number

This article explains how reference numbers work in Addo Sign, and how you can use them to find transactions in Overview.

A reference number can help you identify a transaction, especially if your organization sends many transactions or several users share the same account.

Before you start

You can only search for a reference number if it was added to the transaction. If no reference number was added when the transaction was created, search for the transaction using other information, for example:

  • Signer name

  • Signer e-mail address

  • Transaction name

  • Signing ID

  • Sender name

  • Date range

  • Transaction status

If you cannot find the transaction in Overview, check that the correct date range, bookmarked view, and filters are selected.


What is a Reference Number?

A reference number is an identifier that can be added when a transaction is created.

The reference can contain:

  • Numbers

  • Letters

  • A combination of numbers and letters

Reference numbers are useful when you need to connect a transaction to an internal case number, customer number, employee number, invoice number, or another reference used by your organization.


How to add a Reference Number when sending a transaction

  1. Go to Send

  2. Prepare the transaction as usual

  3. Open Settings

  4. Find Add own reference number

  5. Enter the reference number you want to use

  6. Continue and send the transaction

Add a reference number in Settings before sending the transaction.


Find a transaction in Overview from the Reference Number

After a reference number has been added to a transaction, you can use it to find the transaction in Overview.

  1. Go to Overview

  2. Make sure the Reference number column is visible

  3. Click the filter icon in the Reference number column

  4. Enter the reference number in the search field

  5. Open the transaction from the result list

Use the funnel icon in the Reference number column to search for a transaction by reference number in Overview.


If the Reference Number column is not visible

If you cannot see the Reference number column, it may be hidden from your current Overview layout.

  1. Click Show/hide columns

  2. Find Reference number

  3. Select Reference number to make the column visible

  4. Search again using the filter in the Reference number column

If a bookmarked view is selected

A bookmarked view can include saved filters, sorting, visible columns, column order, column width, and date range. If a bookmarked view is selected, Overview may only show transactions that match that saved view.

If you cannot find the transaction:

  1. Check the bookmarked view dropdown

  2. Select another bookmarked view, or return to the default view

  3. Search for the reference number again

Check the bookmarked view dropdown if the transaction is not visible in Overview.


Reset the view and search again

If you are not sure which filters, columns, or bookmarked views are active, click Reset view. This returns Overview to its default layout and gives you a broader transaction list before you search again.

  1. Click Reset view

  2. Make sure the Reference number column is visible

  3. Use the filter in the Reference number column

  4. Enter the reference number again

Use Reset view if filters, bookmarks, or layout changes may be hiding the transaction.


Find signed documents in your inbox

If signed documents were sent to you by e-mail, the reference number may also appear in the e-mail subject field.

Search your inbox for the reference number if you need to find the e-mail with the signed documents.

💡 Tip: This is only an additional way to find the e-mail with the signed documents. To find the transaction in Addo Sign, use the Reference number column in Overview.


If you cannot find the transaction

If you cannot find the transaction by reference number, first check that you are searching in the correct place in Overview.

Make sure that:

  • The Reference number column is visible

  • You are using the filter in the Reference number column

  • The reference number has been entered correctly

  • The correct date range is selected

  • The correct bookmarked view is selected

  • Other filters are not hiding the transaction

  • Reset view has been used if you are unsure which filters or layout settings are active

  • You have access to the sender, group, or account that owns the transaction

If you still cannot find the transaction, try searching with other information, such as:

  • Signer name

  • Signer e-mail address

  • Transaction name

  • Signing ID

  • Transaction ID

  • Sender name

  • Approximate sending date


Before contacting support

To help Addo Sign Support assist you as quickly and effectively as possible, check the following before contacting support:

  • Whether the reference number was added to the transaction

  • Whether you searched for the exact reference number

  • Whether the Reference number column is visible in Overview

  • Whether you used the filter in the Reference number column

  • Whether the correct date range is selected

  • Whether a bookmarked view is limiting the transaction list

  • Whether other filters are hiding the transaction

  • Whether you clicked Reset view and searched again

  • Whether you have access to the sender, group, or account that owns the transaction

  • Whether you can find the transaction using signer name, signer e-mail address, transaction name, Signing ID, or Transaction ID instead

If you still need help, include:

  • Reference number

  • Transaction name, if known

  • Signing ID, if known

  • Transaction ID, if known

  • Signer name and e-mail address

  • Sender name and e-mail address

  • Approximate sending date
