A reference number can help you identify a transaction, especially if your organization sends many transactions or several users share the same account.
What is a reference number?
A reference number is an identifier that can be added when a transaction is created.
The reference can contain:
Numbers
Letters
A combination of numbers and letters
Reference numbers are useful when you need to connect a transaction to an internal case number, customer number, employee number, invoice number, or another reference used by your organization.
Before you start
You can only search for a reference number if it was added to the transaction.
If no reference number was added when the transaction was created, you need to search for the transaction using other information, for example:
Signer name
Signer e-mail address
Transaction name
Date range
Transaction status
If you cannot find the transaction in Overview, check that the correct date range and filters are selected.
Add a reference number when sending a transaction
Go to Send.
Prepare the transaction as usual.
Open Signing Settings.
Find Add own reference number.
Enter the reference number you want to use.
Continue and send the transaction.
Add a reference number in Signing Settings before sending the transaction.
Find a transaction using the reference number
Go to Overview.
Click Show/Hide columns to filter the Reference number.
Open the transaction from the search results.
Search for the Reference number in Overview to find the transaction.
The reference number may also be shown as part of the transaction information in Overview, depending on how your overview is configured.
Find the transaction in Overview
After a reference number has been added to a transaction, you can use it to find the transaction in Overview.
Go to Overview.
Make sure the Reference number column is visible.
Click the filter icon in the Reference number column.
Enter the reference number in the search field.
Open the transaction from the result list.
Use the filter in the Reference number column to search for a transaction by reference number in Overview.
If you cannot find the transaction
If you cannot find the transaction by reference number, first check that you are searching in the correct place in Overview.
Make sure that:
The Reference number column is visible
You are using the filter in the Reference number column
The reference number has been entered correctly
The correct date range is selected
Other filters are not hiding the transaction
You have access to the sender, group, or account that owns the transaction
If the Reference number column is not visible, use Show/hide columns to make the column available in Overview.
If you still cannot find the transaction, try searching with other information, such as:
Signer name
Signer e-mail address
Transaction name
Signing ID
Sender name
Approximate sending date
š” Tip: If signed documents were sent to you by e-mail, the reference number may also appear in the e-mail subject field. You can search your inbox for the reference number if you need to find the e-mail with the signed documents.
Before contacting support
Before contacting Addo Sign Support, you should check:
Whether the Reference number was added to the transaction
Whether you searched for the exact Reference number
Whether the Reference number column is visible in Overview
Whether you used the filter in the Reference number column
Whether the correct date range is selected
Whether other filters are hiding the transaction
Whether you have access to the sender, group, or account that owns the transaction
Whether you can find the transaction using signer name, signer e-mail address, transaction name, or Signing ID instead
If you still need help, include:
Reference number
Transaction name, if known
Signing ID, if known
Signer name and e-mail address
Sender name and e-mail address
Approximate sending date
