How to Navigate the Overview in Addo Sign

The Overview page in Addo Sign gives you a clear view of your transactions, their status, and the actions available to you.

Use the Overview to:

  • Find transactions

  • Check signing progress

  • Download data

  • Review transaction details

  • Troubleshoot signing flows

What you can do from the Overview

The Overview helps you stay in control of your signing activity.

From this page, you can:

  • View transactions and their current status

  • Filter transactions by:

    • date

    • status

    • recipient

    • send date

    • updated date

    • transaction ID

  • Search for specific recipients or transactions

  • Export transaction data as a CSV file

  • Open a transaction to view:

    • signer details

    • files

    • logs

    • steps

    • audit information

  • Check the signing flow for transactions with multiple recipients

  • Review signing details such as:

    • sender

    • template

    • credits

    • signing ID

    • signing token

The Overview page shows your transactions, filters, date range, export option, and transaction status.

Use filters and search

At the top of the Overview, you can choose the date range you want to review.

You can also filter or search directly in the table columns. This helps you narrow down the list when you are looking for a specific transaction.

The Overview includes filters and columns such as:

  • Status: Shows whether a transaction is completed, started, cancelled, failed, or in another active state.

  • Recipient: Shows the recipient or recipients connected to the transaction. You can search by recipient name or email address.

  • Send date: Shows when the transaction was sent.

  • Updated: Shows when the transaction was last updated.

  • Transaction ID: Shows the unique transaction ID. This is useful when contacting support about a specific transaction.

You can also use My signings to limit the view to your own transactions.

If your filters become too narrow, click Reset filters to return to a broader overview.

Tip: If you cannot find a transaction, check the selected date range first. The transaction may be outside the current date filter.

Download transaction data

You can export the current overview as a CSV file.

  1. Select the relevant date range.

  2. Apply any filters you need.

  3. Click Download CSV.

The CSV export can be used for:

  • Internal reporting

  • Transaction follow-up

  • Credit checks

  • Audit preparation

Customize the Overview

You can adjust the Overview by using the settings icon in the top-right corner of the table.

Use this option to control which columns are shown in the Overview.

This makes it easier to focus on the information that is most relevant to your workflow.

Open a transaction

To view more information about a transaction, click the transaction in the Overview.

A transaction window opens with details about the selected transaction.

At the top of the window, each signer or recipient is shown in a separate card. If the transaction has multiple signers, you can switch between them to see the details for each person.

The active signer is highlighted.

Open a transaction to review signer information, transaction details, and the signing flow.

Review transaction details

In the Transaction details section, you can review information about the selected signer.

The available tabs may include:

  • Signer: Shows signer information such as:

    • name

    • email

    • phone number

    • authentication method

    • signature method

    • next notification

    • distribution method

    • receipt settings

    • transaction ID.

  • Files: Shows the files connected to the transaction.

  • Log: Shows recorded events for the transaction.

  • Steps: Shows the signing steps in the transaction.

  • Auditlog: Shows audit-related information for the transaction.

The Go to signing option can be used to copy the signing link when this action is available.

Review the signing flow

The Signing flow section shows the order in which signers are expected to complete the transaction.

Each step shows the signer status, for example:

  • Completed

  • Started

  • Pending

  • Rejected

This is useful when a transaction has multiple signers or signing steps, because you can quickly see who has completed their part and who still needs to sign.

Review signing details

The Signing details section gives you additional information about the transaction setup.

This section can include tabs such as:

  • Sender: Shows sender-related information, including expiration date, notification interval, final notification, total credits, sender name, sender email, creation date, distribution method, template, signing ID, signing token, and reference number.

  • Bcc: Shows Bcc recipients, if any have been added.

  • Files: Shows files connected to the transaction.

  • Log: Shows recorded activity for the transaction.

  • Credits: Shows credit-related information.

  • Callbacks: Shows callback information, if callbacks are used.

  • Auditlog: Shows audit-related information.

You can also add and/or edit a signing note when this option is available.

The Signing details section shows sender information, template, credits, signing ID, signing token, and related transaction details.

Manage signed documents

When a transaction has been completed, meaning all required signers have signed, you can manage the signed documents from the Files tab.

Depending on the transaction and your account setup, you can:

  • Click a file to download it individually

  • Resend the signed documents to the signers

  • Download all signed documents as a ZIP file

The Files tab shows the documents connected to the transaction and the available download options.

Be aware that download links for signed documents are time-sensitive and may expire after the retention period.

⚠️Signed documents are available in Addo Sign for up to 10 days after the transaction ends if Addo Vault is not enabled. After this period, they are permanently deleted from Addo Sign servers.

If the document is no longer available for download, check your email inbox for the signed document or contact the original sender to resend it.

To retain documents for longer, enable Addo Vault on your account. Addo Vault provides extended storage for signed documents, making them accessible beyond the standard retention period.

Review the transaction log

The Log tab provides a timeline of recorded events related to the transaction.

Use the log to check:

  • When the transaction was created

  • When the email was delivered

  • Whether the signer opened the message

  • Whether the signer accessed or signed the document

  • Any errors, such as an invalid email address or delivery failure

The log is useful when you need to diagnose delivery issues or verify a recipient’s interaction with the transaction.

Troubleshoot common issues from the Overview

You can use the Overview and transaction window to investigate common issues with a transaction.

Why has the signer did not received the message?

If a signer says they have not received the message, open the transaction and review the Log tab.

The log can show delivery status, timestamps, and errors. For example, if an incorrect email address was entered, the log may show a delivery failure.

Cannot update recipient in state: Failed

This error can occur if you try to update recipient information on a failed transaction before reactivating it.

To resolve this:

  1. Open the failed transaction from the Overview.

  2. Click the menu with three dots in the top-right corner of the transaction window.

  3. Select Reactivate.

  4. Update the recipient details if needed.

  5. Notify the signers to complete the signing flow.

Once all required parties have signed, the completed document will be available for download.
