Information is starred out (***) in Overview

This article explains why information is starred out, what the GDPR compliance settings mean, and how administrators can manage data anonymization in Addo Sign.

Note: GDPR compliance settings are only available to administrators.

If you do not have administrator access, ask an Addo Sign administrator on your account to review or change the setup under:

Settings (⚙️) → Account Overview → General terms and conditions.

If information is shown as stars in Overview, it is usually because data anonymization is enabled on your account.

Why information is shown as stars

Addo Sign can anonymize personal data after a transaction has passed its deadline.

When data is anonymized, personal information is replaced with stars in Overview.

This helps reduce the amount of personal data stored and displayed in Addo Sign.

⚠️ Important: Once data has been anonymized, it cannot be restored.

Where to manage data anonymization

You can find the settings under:

Settings (⚙️) → Account Overview → General terms and conditions

Although the starred information is visible in Overview, the setting is managed under Settings.

Administrators can manage GDPR compliance settings under General terms and conditions.

Data anonymization settings

Administrators can choose between three GDPR compliance settings.

No data anonymization

Use this option if personal data should remain visible in Overview.

With this setting:

  • Data is not anonymized

  • Signer details remain visible in Overview

  • Your organization is responsible for handling personal data according to applicable privacy requirements

Enable data anonymization

Use this option if personal data should be anonymized, but the reference number should remain visible.

With this setting:

  • Personal data is anonymized and shown as stars in Overview

  • The reference number field remains visible

  • Anonymized data cannot be restored

💡Tip: This option can be useful if your organization needs to protect signer information while still keeping reference numbers available for internal tracking.

Enable data anonymization (including reference number field)

Use this option if both personal data and the reference number should be anonymized.

With this setting:

  • Personal data is anonymized and shown as stars in Overview

  • The reference number field is also anonymized

  • No personal details remain visible in Overview

  • Anonymized data cannot be restored.

This is the strictest anonymization option.

Change GDPR compliance settings

These settings affect future transactions only. Existing transactions are not changed when you update the setting.

  1. Settings (⚙️) → Account Overview → General terms and conditions.

  2. Go to GDPR compliance

  3. Choose one of the available settings:

    • No data anonymization

    • Enable data anonymization

    • Enable data anonymization (including reference number field)

  4. Click Save.

The selected setting will apply to future transactions.

Before contacting support

Before contacting Addo Sign Support, check:

  • Whether the information is shown as stars in Overview

  • Which GDPR compliance setting is enabled on the account

  • Whether the data may already have been anonymized

  • Whether you have administrator access to change the setting

  • Whether the setting was changed before or after the transaction was created

If you still need help, include:

  • Transaction ID

  • Signing ID

  • Current GDPR compliance setting
