Resend a notification to a signer

This article explains when you can resend a signing notification to a signer, how to do it, and what to check if the signer still does not receive the message.

Use Send new notification to signer when a signer has not completed the signing, and you want to send the signing notification again.

Before you start

You can only use Send new notification to signer if the original notification was sent by E-mail or SMS.

⚠️ Important: You cannot use Send new notification to signer if the original notification method was Digital Post.

You can resend a notification once per hour while the signing is still within its expiration period.


Resend a notification

  1. Go to Overview.

  2. Click the transaction row to open the transaction where you want to resend the notification:

  3. Select the signer who should receive a new notification:

  4. Click Send new notification to signer:

  5. Click OK in the confirmation window:

The notification is sent again through the same channel as the original notification.


When you update the signer’s e-mail address

When you update a signer’s e-mail address in Addo Sign, a new notification is automatically sent to the newly updated address. This applies when the transaction still allows the updated signer details to trigger a new notification.

If the transaction has failed because the e-mail address was incorrect or inactive, update and save the e-mail address before reactivating the transaction instead.


Manually share the signing link

As a last resort, if all else fails, you can also share the signing link manually with a signer.

To do this, copy the unique signing link from the signer details by clicking the text Copy link on the Signer tab. You can then paste and send the link to the signer by e-mail or another approved channel.

⚠️ Important: Only share the signing link with the intended signer.

Use Copy link to copy the signer’s unique signing link when this action is available.


If the signer still does not receive the notification

If the signer still does not receive the notification, consider checking the following information in the transaction, before contacting support:

  • Review Transaction details → Log to see whether the notification was sent or whether a delivery error occurred

  • Check that the signer’s e-mail address or phone number is correct

  • Confirm that the notification method is E-mail or SMS

  • Ask the signer to check their spam or junk folder

  • Confirm that the signing has not expired

  • Check whether one hour has passed since the last notification was sent

  • Copy the signing link and share it manually, if this action is available

Before contacting support

To help Addo Sign Support assist you as quickly and effectively as possible, you can check the following before contacting support:

  • Whether the transaction is still within its expiration period

  • Whether the notification method is E-mail or SMS

  • Whether one hour has passed since the last notification was sent

  • Whether the signer’s e-mail address or phone number is correct

  • Whether the signer has checked their spam or junk folder

  • Whether Transaction details → Log shows that the notification was sent

  • Whether Transaction details → Log shows a delivery error

  • Whether Copy link is available and can be used as an alternative

If you still need help, include the following information (if possible or relevant) when contacting support:

  • Transaction ID (if known)

  • Signing ID (if known)

  • Current transaction status

  • Signer name and e-mail address or phone number

  • Notification method

  • Relevant log entry or error message

  • Screenshot of the issue
