Use Overview to find, filter, open, analyse, export, and manage transactions.
What you can do from the Overview
The transaction Overview helps you stay in control of your signing activity. From this page, you can:
View transactions and their current status
Open a transaction by clicking the transaction row
Expand transactions that contain sub-transactions
Sort transactions by supported columns
Filter transactions by multiple criteria
Use flexible date ranges to narrow down the transaction list
Show, hide, resize, and reorder columns
Reset the view back to the default layout
Save your preferred search and layout as a bookmarked view
Quickly switch between bookmarked views
Use bookmarked views to create Dashboard widgets
Export filtered transaction lists as a CSV file to Excel
The transaction Overview lets you filter, sort, customize columns, save bookmarked views, reset the layout, and export filtered transaction lists.
Use filters, sorting, and date ranges
You can use filters and sorting to narrow down the transaction list. Use filters when you want to find transactions by specific criteria, such as:
Status
Recipient
Send date
Signing ID
Transaction ID
Sender
Sender’s e-mail
Updated date
Reference number
You can sort supported columns directly from the table. You can also use flexible date ranges to control which period is shown in the overview:
Click the funnel icon next to Send date, if you need to see transactions for a specific period.
Use column filters and sorting to narrow down the transaction list.
Show, hide, resize, and reorder columns
You can customize which columns are shown in Overview. Use the Show/hide columns when you want to control which transaction data is visible in the table.
You can also resize and reorder columns so the overview better matches the way you work.
From this menu, you can also pin columns and expand/close all row groups.
This is useful if you often work with specific fields, such as Signing ID, Sender, Transaction ID, Reference number, or Status.
Simply click and drag a column, or auto-size one or more columns by clicking the three vertical dots.
Column descriptions in Overview
The columns in Overview help you review, filter, sort, and identify transactions. You can choose which columns are visible by clicking Show/hide columns. You can also resize and reorder columns to match the way you work.
Some columns may be empty if the information is not relevant to the transaction, or if the field was not used when the transaction was created.
Column | Description |
Status | Shows the current status of the transaction, for example Started, Completed, Failed, Expired, Cancelled, or another available status. |
Recipient | Shows the recipient or recipients connected to the transaction. If the transaction has multiple recipients or sub-transactions, the row may show a combined recipient view that can be expanded. |
Expiration date | Shows when the transaction is set to expire. This helps you identify transactions that may need follow-up before the signing period ends. |
Send date | Shows when the transaction was sent. Use this column to sort or filter transactions by sending date. |
Signing Id | Shows the unique ID for the signing. This is useful when searching for a specific signing or when contacting support. |
Transaction Id | Shows the unique ID for the transaction. This is useful when identifying a specific transaction in Addo Sign or when contacting support. |
Sender | Shows the name of the user who sent or owns the transaction. |
Sender’s email | Shows the e-mail address of the sender. This can help identify which user sent the transaction, especially on accounts with multiple users. |
Updated | Shows when the transaction was last updated. This can include changes in status, signer activity, or other recorded transaction updates. |
Notification type | Shows the type of notification used for the transaction or recipient, if available. This can help you see how the recipient was notified. |
Signing method | Shows the signing method used for the transaction or recipient, for example touchscreen or another available signing method. |
Signing name | Shows the name of the signing. This can help identify the transaction if your organization uses signing names to distinguish between different signing flows. |
Signing note | Shows the signing note, if one has been added to the transaction. |
Reference number | Shows the reference number added to the transaction. Use this column to find transactions connected to an internal case number, customer number, invoice number, employee number, or another reference used by your organization. |
Template | Shows the template used for the transaction, if a template was used. |
Signing token | Shows the signing token connected to the signing, if available. This is technical signing information and is usually only needed for troubleshooting or support. |
PIN | Shows the PIN value registered for the transaction, if one was used. |
TAX number | Shows the tax or VAT identification value registered for the transaction, if one was used. |
Distribution method | Shows the distribution method used for the transaction or signed documents, for example e-mail, Digital Post, or another available distribution method. |
Group | Shows the group connected to the transaction, if a group was used. This can help you filter or identify transactions that belong to a specific team, department, or signing group. |
Use Show/hide columns to choose which columns are visible in Overview. You can use columns to filter, sort, and identify transactions.
If a column is empty
A column can be empty if the information was not used or registered on the transaction. For example, Template may be empty if the transaction was not created from a template, and Reference number may be empty if no reference number was added. Empty columns do not necessarily mean that something is wrong with the transaction.
Save and switch between bookmarked views
You can save your favourite searches and layouts as bookmarked views. A bookmarked view can include the way you have set up Overview, for example:
Selected filters
Sorting
Visible columns
Column order
Column width
Date range
You can use bookmarked views when you often need to return to the same transaction list, search, or reporting setup. Examples of bookmarked views could be:
Failed transactions
Transactions sent by a specific user
Transactions in a specific group
Transactions with a specific status
Transactions waiting for follow-up
To use bookmarked views:
Set up Overview with the filters, columns, sorting, and date range you want to use.
Save the view as a bookmark.
Use the bookmarked view dropdown to switch between your saved views.
Use bookmarked views to save and quickly switch between frequently used Overview layouts.
Use bookmarked views on the Dashboard
Bookmarked views from Overview can also be used on the Dashboard. When you create or customize Dashboard widgets, you can use your bookmarked transaction views to create widgets based on the transactions you want to monitor.
This means that a saved view from Overview can be turned into a Dashboard widget. For example, you can create Dashboard widgets for:
Started transactions
Rejected transactions
Expired transactions
Completed transactions
Quick Actions that provide shortcuts to specific transaction types
Transaction overviews that show how many transactions of different types were created during a specific period
This allows you to use Overview for detailed filtering and the Dashboard for quick daily monitoring.
Bookmarked views from Overview can be used to create Dashboard widgets for frequently used transaction lists.
💡 Tip: Set up and save the view in Overview first. Then use the bookmarked view when creating or customizing widgets on the Dashboard.

Reset the view
If your overview has too many filters, hidden columns, or layout changes, click Reset view. This resets the overview back to its default layout.
You can use Reset view if you cannot find a transaction and want to remove custom filters or layout changes before searching again.
Use Reset view to return the overview to its default layout.
Open a transaction
To view more information about a transaction, click the transaction row in Overview. A transaction window opens with details about the selected transaction.
If the transaction has multiple signers or recipients, you can switch between them at the top of the transaction window.
Click a transaction row to open the transaction details.
Expand transactions with sub-transactions
Some transactions contain sub-transactions. When a transaction can be expanded, use the expand option in the transaction row to see the related sub-transactions. This makes it easier to review transactions that are connected to the same signing flow or sending process.
Expand a transaction to see its related sub-transactions.
Export transaction data
You can export the current transaction list for reporting and analysis. The export follows the current overview setup. This means that selected filters, date ranges, and visible transaction data affect what you export.
Use Export when you want to download a filtered transaction list to Excel as a CSV file.
Use Export to download the filtered transaction list for reporting or analysis.

Review transaction details
When you open a transaction, the Transaction details section shows information about the selected signer or recipient.
The available tabs may include:
Signer: Shows signer information such as name, e-mail, phone number, authentication method, signature method, next notification, distribution method, receipt settings, and transaction ID
Files: Shows files connected to the transaction
Log: Shows recorded events for the selected signer or recipient
Steps: Shows signing steps in the transaction
Auditlog: Shows audit-related information
The Go to signing option can be used to copy the signing link when this action is available.
Transaction details show information for the selected signer or recipient.
Review the signing flow
The Signing flow section shows how the transaction is progressing.
It can show signers, groups, steps, and signer statuses, for example:
Completed
Started
Pending
Rejected
Failed
If advanced signing flow is used, the transaction may need to be signed in a specific order.
Signers can also have different statuses in the signing flow even if no advanced signing flow has been added.
Signing flow helps you see signer status, groups, steps, and signing progress.
Review signing details
The Signing details section gives you additional information about the transaction setup. This section can include tabs such as:
Sender: Shows sender-related information, including expiration date, notification interval, final notification, total credits, sender name, sender e-mail, creation date, distribution method, template, signing ID, signing token, and reference number
Bcc: Shows Bcc recipients, if any have been added
Files: Shows files connected to the transaction
Log: Shows recorded activity for the full transaction
Credits: Shows credit-related information
Callbacks: Shows callback information, if callbacks are used
Auditlog: Shows audit-related information
You can also add or edit a signing note when this option is available.
Signing details show sender information, template, credits, signing ID,
signing token, and transaction-level details.
Manage signed documents
When a transaction has been completed, meaning all required signers have signed, you can manage the signed documents from the Files tab. Depending on the transaction and your account setup, you can:
Click a file to download it individually
Resend the signed documents to the signers
Download all signed documents as a ZIP file
The Files tab shows the documents connected to the transaction and the available download options.
Download links for signed documents are time-sensitive and may expire after the retention period.
⚠️ Note: Signed documents are available in Addo Sign for up to 10 days after the transaction ends if Addo Vault is not enabled. After this period, they are permanently deleted from Addo Sign servers.
If the document is no longer available for download, check your e-mail inbox for the signed document or contact the original sender to resend it. To retain documents for longer, enable Addo Vault on your account.
Review logs
The Log tab shows recorded events related to the transaction. There are two relevant log levels:
Transaction details → Log shows events for the selected signer or recipient
Signing details → Log shows events for the full transaction
Use the log to check:
When the transaction was created
When a notification was sent
Whether the signer opened the message
Whether the signer accessed or signed the document
Whether documents were distributed
Whether errors occurred
Use the relevant Log tab to review events regarding transaction or signing details.
If you cannot find a transaction
If you cannot find a transaction in Overview, check:
Whether the correct bookmarked view is selected
Whether filters are hiding the transaction
Whether the correct date range is selected
Whether the relevant columns are visible
Whether the transaction belongs to another user, group, or account
Whether you have access to view the transaction
Whether Reset view helps return the overview to a broader result list
You can also search or filter by information such as recipient, sender, transaction ID, signing ID, reference number, status, or send date.
Before contacting support
Before contacting Addo Sign Support, you should check:
Whether you selected the correct bookmarked view
Whether you clicked Reset view
Whether filters or date ranges are hiding the transaction
Whether the relevant columns are visible through Show/hide columns
Whether you can identify the transaction using Signing Id, Transaction Id, Reference number, Recipient, or Sender
Whether the transaction contains sub-transactions
Whether you can open the transaction by clicking the row
Whether you have access to the sender, group, or account that owns the transaction
